Zoom Room Equipment has been installed in DS02/DS06 and DS07.
Meeting Room Use
If you wish to use the zoom room equipment in your meeting, you will need to add the relevant meeting rooms into the Zoom meeting invite. A calendar exists for each meeting room bearing their name.
There is a tablet on the table in each meeting room which is just the Zoom client. You use this to join, control or you can use it to host a meeting.
This tablet controls the use of the camera, microphone and the normal Zoom meeting functions.
This user guide has been shared on use of Zoom Rooms if you're struggling to use them - https://cdn.brandfolder.io/AMC8F81D/at/37sx8wbwhw92g2sfz35j3hz/ZR_User-Guide.pdf
Meeting Room Calendars
If you wish to use a meeting room and it's Zoom equipment. All you need to do is to add the room into your Outlook appointment. Each Room has it's own corresponding calendar.
CHI Users - Just search for DS02, DS06 etc in the shared calendars in Outlook.
ISS Users - You can search for the following users in Outlook DS02@chi.swan.ac.uk, DS06@chi.swan.ac.uk etc.
When you enter the room, the tablet has the schedule of meetings for the day. You should be able to just press "join" on the tablet and enter the meeting.
If you're not able to log in to your Zoom appointment in this way, then you can "Join a meeting" using the meeting ID and Passcode.
Content Sharing
In using the equipment, there are several methods of sharing content from your laptop.
- Direct Share
This doesn't require a Zoom meeting to be happening and when in the room, you can just share content to the screens instead of having to plug in your device. All you need to do is visit share.zoom.us and then enter the "Sharking Key" displayed in the right hand corner of the screen.
Note if you're using this method you will need to select the "Enter a Sharing Key to Present" follow the onscreen prompts and type in the Sharing Key displayed in the right hand corner of the screen
2. Screen Sharing to an ongoing Meeting
Once the meeting is running, you will need to know the "Meeting ID". Once you know this. Visit share.zoom.us and then enter the "Meeting ID" followed by the Security Passcode.
Note: If you're unsure of these, you can obtain them from pressing the key at the top of the tablets screen on the table.
3. Old fashioned HDMI Cable in the room
We won't explain to you how to use that.....
Troubleshooting
- My zoom meeting hasn't come on the screen.
There is a TV remote for the TVs in each room. Make sure the TV is on by pressing the power button on the remote. On the wall, there's a unit similar to the image below. Make sure it's set to "Video Conference".
